We recognize that storage and portability of information are two of the key issues facing the medical community.
Storage of information in the form of case records, prescriptions, bills and other vital information, both manually and digitally, are posing physical space problems. It also takes time to retrieve patients' records from manual storage. Our system allows us both born digital information (i.e. data in electronic form) and manual records to be converted into digital form in an electronic vault, in a highly retrievable form.
With increased patient mobility and the standard of care involving more than one physician, and in many cases multiple care facilities, the need for portable medical records has become evident. The system will allow for the storage of all information from multiple treating physicians and facilities, to be stored centrally. This will allow you, the treating physician, access to current and detailed information about the patientís medical and clinical histories, current diagnosis and prescription medications.

HERE'S HOW IT WORKS

Your information in the form of text, image, video, and voice are stored in an encrypted form in our data form. The entire network works on site secured (SSL) technology to ensure only authorized personnel have access. A log is generated each time data is accessed, in or out. Information that is requested to be stored is digitally signed using Excelís software in terms of origin of data, owner of data, custodian of data, and the access rights for that data.
Retrieval of data can only be done through authenticating access rights. Once verified, retrieval is instantaneous.
An automatic e-mail system is built into the software which notifies the custodian of the data every time data is retrieved from the server. This feature helps custodians of data to keep track of data retrieval for audit purposes.
The entire system is HIPAA compliant and adequate audit trails have been built into the software to ensure that the data is stored and retrieved securely.

SECURITY

• A PASSWORD and USER ID are assigned to each user. A master PASSWORD and USER ID can be assigned to any individual that you appoint.This master password and user ID would enable this individual to access all information for that practice or hospital
• The system is set up to challenge each entry on a random basis. In order to extract data you would have to answer two security questions, for which the prompts have already been imputed. This is an additional layer of security to protect stored data
• If any of our staff has to correspond with you we will do so with a template unique to Excel

DATA ENTRY

• At the time of entry each document is assigned a file number, page count and doctorís name. The system will acknowledge each entry by sending a message identifying the time, page count, doctorís name and file number for each entry
• Once the entry is made, a log is created detailing all entries made to date for that User ID number. This enables you to see what is stored on a demand basis

• At time of retrieval, you are asked if you want the documents retrieved to be deleted or continue to be stored. The system acknowledges each retrieval by sending a message identifying the time, page count, doctorís name and file number
